
The Cleveland Metro Bar Association (CMBA) ran its website and member management through an all-in-one association platform. It did a little of everything, well enough, at a premium: tens of thousands of dollars a year for user licenses, a similar amount annually for members to watch Continuing Legal Education (CLE) videos, and a hefty price for every new website page.
The day-to-day cost more too. Member search barely worked. Organizations couldn't exist as their own records, so staff faked them as members. Payment history vanished when someone changed jobs. Reporting meant manually stitching exports together by hand. Dues had sprawled into 20+ overlapping tiers nobody could fully explain.
CMBA didn't need a bigger budget. It needed a solution built for its needs.
Novel Minds partnered with CMBA to build a custom member platform, paired with a front end driven by WordPress. That decision reshaped six parts of how the bar association runs, day to day:
Twenty overlapping membership tiers became one clean, rule-based structure. Discounts and coupons now apply automatically based on real criteria, like tenure or committee membership, instead of static groups only staff could keep straight.
Videos and courses now live directly on CMBA's own platform, with no per-view fees and no annual re-licensing of content that never changes. Attorney credit tracking and Ohio Supreme Court reporting, once a manual, spreadsheet-driven process, are now built into the system CMBA already uses every day.
Members, organizations, donors, volunteers, and fellows are all first-class records now, not workarounds. Law firms and companies can finally exist as organizations in their own right, and a job change no longer erases someone's payment history: the system remembers who a person was, not just who they are today.
Custom dashboards, built on Metabase, replace reports nobody could edit, customize, or fully explain. CMBA's team can see exactly what data feeds every number, and build a new report the moment a new question comes up instead of waiting on a vendor.
The platform connects to what CMBA already runs on: Stripe for payments, Mailchimp for email, Google Analytics, and Monday.com for internal workflows, with no vendor approval process standing between CMBA and the next tool it wants to add.
Staff were trained to manage the new website directly. A new page, a copy update, a new event listing: none of it requires a developer, a support ticket, or a change-order quote, so updates happen the same day instead of the same quarter.
The clearest result is the bill.
